News Story Outlines Job Scams for Phoenix Job Seekers A recent newscast from channel CBS 5 in Phoenix, AZ, called CBS 5 Investigates Job Scams, highlighted the new job scams affecting residents in the area. A woman who was looking to work from home and find something that paid more than what she had been currently making found herself the victim of crime involving job scams. She was contacted by another woman via text message and asked to do an interview via instant message. She was asked legitimate job interview questions by her potential boss, and by the end of the day, the woman had landed the job of an executive assistant working from home. The Costs of Job Scams While she thought it was strange that her employer reached out to her via text- and then did the interview via instant message- she was happy to have a new position. Her employer sent her six checks via FedEx and asked her to deposit them into her account. She was then to take out cash and make payments into other accounts. She thought she was paying for company services, but she wound up paying a bigger price: all but one of the six checks cleared, and the woman found herself owing the bank a staggering $21,000. Sadly, this is an all too common reality for many job seekers looking for part-time or flexible jobs who fall prey to job listings that boast the words “work from home” or “work at home.” Sara Sutton, the CEO and founder of , was interviewed for this newscast. She said, “Scammers use those words because theyre more commonly searched by job seekers.” And in Arizona, one of the top 10 states with telecommuting jobs, where 5.5 percent of the population works from home (which is higher than the national average), being targeted for a job scam is a common occurrence. How can you avoid getting scammed? Here are some tips: Don’t do a job interview via instant message. Sure, in today’s society, everyone is texting and IM-ing. That doesn’t mean that a potential boss should, though. A real hiring manager will reach out to you via email or phone, and follow up with either an in-person or phone interview, but will not communicate with you via text message. If you are contacted that way, chances are very high that it’s a scam. Avoid jobs that want you to pay to get hired. Employers should be paying you, not the other way around. You should not have to pay for things such as training, computer equipment, or programs needed for you to do your job. If a legitimate company hires you, they will provide all of this for you- free of charge. Don’t give out your personal banking info. One of the biggest job scams is for potential “employees” to deposit checks into their bank accounts and then withdraw amounts to pay to others. Job seekers need to realize that a company should be making their own payments directly and not need you to facilitate the payments. There is never a real reason why a potential employer would need access to your bank account, so if it is asked of you, it is 100 percent a job scam! Well, the fact is that being an assistant is almost like going to Hollywood School. Because assistants aren’t just secretaries â€" they’re executives and producers in training. You do need to set clear requirements, including milestones and deadlines, but you also need to allow some flexibility. The amount of slack that you allow in their schedule will vary from individual to individual with the more senior and talented individuals needing less slack. Using a Progress Report to Track Schedule The most common method of tracking whether work is done on time is the periodic report, usually done on a weekly basis for small projects and on a monthly basis for larger projects. When you have your subordinates submit written progress reports, one of the items on which they will report is their adherence to the schedule. One common method used to quickly indicate status is stoplight colors. If the project is on schedule, they would show a green symbol. If the project is late, they would show that as a red symbol. Sometimes yellow is also used to indicate when there is a small problem that is not severe enough to warrant the red color. You also want them to report anything that is blocking their progress. This section should include what they have tried to clear the blocker and the results of those efforts. If they are requesting assistance from you, or from someone outside their sphere, that should be clearly indicated. Dont forget to have them also include their accomplishments. If they have done something that has cleared a blocker, prevented the problem, or in some other way helped keep the schedule intact that should be noted in their progress report. Finally, the progress report should show the percent complete. Most projects make very little progress at the beginning, then they ramp up steeply, and at the end of the project again make slow progress. The project schedule that you and your employee have developed should account for this. Whether or not you have factored this into the schedule, you need to evaluate the progress reported by the employee. The percent planned complete should reflect, in general, how much of the time allotted to the project has passed. In a project with a three-month schedule, the employee should report the planned complete percentage of approximately 1/3 at the end of the first month. If they reported a number much smaller or much larger it would be prudent for you to look a little deeper. Also, you need to make a judgment about the accuracy of what they report for an actual percent complete. Based on your knowledge of the project and its overall status you should be able to judge, approximately, whether the percent complete reported by the employee is accurate or not. For instance, if they report a planned complete figure of 60% and an actual complete percentage of 65%, but you know the project has been plagued with difficulties, you should investigate the report in more detail. Get Work Done Right Its more difficult to measure and monitor whether or not your employee is getting the work done right. Thats because its harder to define and quantify what done right means. Here again, as with schedules, you need to set clear and specific expectations and objectives. And while with schedules you allow some flexibility and slack you need to be less flexible with regard to quality. Good is good. Dont lose sight of your target. When we talk about done right, remember youre going for excellent not perfect. And don’t forget to focus on results rather than the process. Evaluating Performance The best way to track your employees’ progress with respect to getting the work done right is frequent meetings and making liberal use of show and tell. When an employee reports having made appreciable progress, have them show you what theyve done. At the beginning of the project, the work may be a little rough and only partially complete. It is to be expected. However, as time passes, the employee’s demonstrations should show progress with the work becoming smoother and more complete. The key during these quality reviews is to make sure the employee’s estimate of the quality of the work done so far matches your own. If it appears to you that the quality of the work done to this point is still rough and preliminary, you need to discuss the difference with the employee and reset their expectations. If you dont, when they think theyve achieved finished quality, youre likely to assess the work is only moderately finished. Bottom Line When reviewing work that you have delegated to subordinates, remember that you are still responsible for their work. So make sure the work is done on time and done right as discussed above. At the first sign of difficulty, you need to step in and adjust the employee’s standards to conform to your own.
